Employer guidelines: Advertising vacancies with Cardiff University

Cardiff University offers a free advertising service for employers to promote student and graduate opportunities via TARGETconnect, our online vacancy board.

The below guidelines are designed to help you attract and recruit our diverse and talented students and graduates.

1. Types of vacancies we can advertise

We invite employers to upload the following vacancies (both in the UK and overseas) in accordance with the guidelines listed below:

1.1. Permanent graduate vacancies.
1.2. Placements and internships.
1.3. Short-term contracts.
1.4. Work-related learning experiences, challenges and competitions, including mentoring and insight programmes.
1.5. Voluntary work with a third sector organisation.
1.6. Part time vacancies may be accepted in circumstances whereby the role contributes to the student’s degree (care/ support work for health care students). These roles must state in the advertisement how they can help the students with gaining experience valuable to their degree.

2. Types of vacancies we cannot advertise

We have a responsibility to our students which means that we are unable to accept:

2.1. Vacancies that are not of graduate calibre. To advertise part-time casual vacancies, contact Jobshop, the student employability service run by Cardiff University Students’ Union
2.2. Unpaid internships or work experience over 70 hours, unless these are voluntary placements for third sector organisations. For more information about best practice in internships recruitment see: Common-Best-Practice-Code-on-High-Quality-Internships.pdf
2.3. Vacancies that do not pay the legal National Minimum Wage, unless they are voluntary opportunities with third sector organisations. We recommend that employers pay students a salary that reflects the level of work our students or graduates are undertaking.
2.4. Opportunities suspected to be illegal, oppressive, exploitative or discriminatory.
2.5. Vacancies within organisations where there may be a conflict of interest with Cardiff University research funding.
2.6. Jobs for current students that require a commitment of more than 15 hours per week during semester.
2.7. Adverts or promotions from Recruitment Agencies that do not include a named employer and specific job details in the job advertisement or promotional information.
2.8. Opportunities that require the taking of medication such as participation in drug trials.
2.9. Opportunities which involve writing for academic essays, course-related material or personal statements which may be used by other students.
2.10. Commission-only roles or ‘pyramid’ network or similar style selling schemes.
2.11. Opportunities that promote services to our students and graduates at an unduly high cost and/ or the university already offers the equivalent service free of charge.

3. Vacancies outside the UK

3.1 Student or graduate opportunities offered in countries outside the UK must comply with the country’s relevant employment legislation.
3.2 Please note that any vacancy advertisements including statements such as ‘must be able to gain or have permission to work in the UK’ will be amended to read, ‘the successful candidate must, by the start of their employment, have permission to work in the UK’.

4. Employers are responsible for ensuring

4.1 All information provided relating to vacancies/placements is accurate, up-to date and not misleading in any respect.
4.2 Any job/s advertised or promoted are non-discriminatory and comply with all UK legislation relating to recruitment practices, including equal opportunities, employment law and data protection requirements.
4.3 You have up-to-date and valid, Health and Safety policies, Employer’s Liability and Public Liability insurance in respect of any opportunity placed.
4.4 Notifications of any alterations to bookings, vacancy information or any other arrangements is given to us in good time.
4.5 You accept we reserve the right to be selective and we accept no responsibility for the information or actions of the employer/ agency.

5. Advertisements and/or promotions must not

5.1 Contain any material which is defamatory of any person.
5.2 Contain any material which is obscene, offensive, hateful, or inflammatory.
5.3 Infringe any copyright, database right or trademark of any other person.
5.4 Be likely to deceive any person.
5.5 Be made in breach of any legal duty owed to a third party, such as a contractual duty or a duty of confidence.
5.6 Be used to impersonate any person, or to misrepresent your identity or affiliation with any person.

Vacancy guidelines

The University uses an external company, GTI, as our data processor. They provide us with the TARGETconnect database to allow us, as data controller, to contact you and administer our services.

Before uploading a vacancy, you will need to register and accept their terms and conditions. For more information about how Cardiff University will handle employer data, please see our privacy statement for employers.

Whilst every effort has been made to ensure that vacancies can only be accessed by Cardiff University students and graduates (up to three years), we cannot guarantee this.

We will respond to and process all service bookings or job advertisement requests within 3 working days. If we need to contact you to discuss your request or seek further information, this may delay the process. As part of this process, we may make minor amendments or edits to the information you have provided, to comply with our system requirements. However, we do not guarantee that TARGETconnect, or any content on it, will be free from errors or omissions.

We cannot guarantee that access to TARGETconnect, or any content on it, will always be available, or not be interrupted. Access is permitted on a temporary basis. We may suspend, withdraw, discontinue or change any part of TARGETconnect without notice. We will not be liable if for any reason TARGETconnect is unavailable at any time or for any period.

Failure to comply with these guidelines will result in action that we deem appropriate, which may include, without limitation, immediate, temporary or permanent removal of any advertisement and/ or promotion from TARGETconnect.
